Assets and systems

EAM and CMMS Optimization

This optimization involves selection, fit-gap, architecture, and configuration, and then the part most programs skip: real adoption by the people in the field. It is vendor-neutral because no reseller agreement is behind anything we recommend.

What goes wrong

Go-live is not adoption.

A CMMS go-live is not an adoption. We have walked into sites where the system was configured correctly, trained on once, and abandoned inside a quarter because the work-order flow did not match how the crew actually moves through the building.

It was configured for the org chart

Hierarchies, work types, and approval chains get modeled off how the company is organized. The crew moves through a building instead, so every job costs three extra clicks and a guess, and within a quarter the real scheduling has moved back to a whiteboard.

  • A work-order path the crew has to work around
  • Approval chains that stall routine work
  • The real schedule living outside the system

One asset class. Five names. Three sites.

Without master data governance every site starts naming things its own way inside two quarters. Portfolio reporting then compares things that are not comparable, and nobody trusts the roll-up enough to make a decision on it.

  • The same asset class named differently at every site
  • Portfolio reporting nobody will act on
  • A clean go-live degrading quietly from month three
How we run it

How a system ends up being used.

We are vendor-neutral by construction: no reseller agreement is behind any recommendation we make. What we bring is the operating discipline of a mission-critical plant, where the system exists to hold the standard rather than the other way around.

  1. 01

Fit-gap against the work, not the brochure

This involves what the crew does, what the standard requires, and what the system can actually carry. Selection follows that comparison, and where the system you own can carry it, the answer is to keep it.

Fit-gapWhat your system can carry, and what it cannot
  2. 02

Agree the data model before the screens

We settle asset hierarchy, naming, work types, and criticality once for the whole portfolio. Every configuration decision after this either follows that model or quietly breaks reporting later.

Data modelHierarchy, naming, and criticality, portfolio-wide
  3. 03

Configure around how the crew moves

We build the work-order path against the route a technician actually walks, not the org chart. A flow costing three extra clicks a job is a flow that will be abandoned.

ConfigurationThe work-order path a technician will actually use
  4. 04

    Measure adoption, not go-live

This includes training, change management, and then a real measurement of use in the field. A technical go-live with nobody using it is a project that finished and failed at the same moment.

AdoptionField use measured per site, not a go-live date

What we run on the system.

The solution is vendor-neutral and built around your crew. The model, the configuration, and the adoption work come from us.

  • System selection, fit-gap, architecture, and designThe solution is vendor-neutral by design, because the selection should follow the fit-gap rather than a reseller agreement.
  • Master data governance and policy alignmentThe governance that stops a clean go-live degrading into site-by-site naming within two quarters.
  • Configuration, training, and change managementWe configure around how the crew moves through the building, then train and carry through the change.
  • Real adoption by field teams, not only a technical go-liveWe measure on use in the field, not on a technical go-live nobody opened again.
Measured outcomes

What the system is worth once it is used.

We do not publish an adoption percentage because the only honest version of it is measured per site and it moves. What we hold to is the shape of the outcome: one source of truth, maintenance tracking somebody will act on, and a model that survives the next site.

Workstreams

The workstreams it runs on.

This discipline runs two named workstreams. They are separable, and the second one fails without the first.

Master Data Management

Governance for the data itself: naming, hierarchy, criticality, and the rules that stop two records for one pump.

CMMS Implementation and Integration

The CMMS stood up, populated with verified asset data, integrated with the systems around it, and in real use before the building opens.

Straight answers

What operators ask us first.

These are the questions that someone who has survived a system project usually asks before committing to one.

We already have a CMMS. What would you change?

Usually, we would not change the system. A CMMS go-live is not an adoption, and most of what we find is a work-order flow that does not match how the crew actually moves through the building, plus an asset register that was accurate on the day it was exported.

Do you sell or resell CMMS software?

No. We are vendor-neutral by design, because the selection should follow the fit-gap rather than a reseller agreement. That neutrality is most of the value in the selection phase.

What is a fit-gap analysis?

A fit-gap analysis is the comparison between how your work actually moves through the building and what a given system does out of the box. The gaps are then a decision: configure, change the process, or rule out the system. Skipping it is how sites end up configuring their way around a system that was never correct.

How do you get field teams to actually use the system?

We design the work-order flow around how the crew moves through the building rather than around the data model. Training and change management follow that, not the other way around.

What is master data management in facilities maintenance?

It is the governance that keeps asset, location and work data consistent as the system is used. Without it a clean go-live degrades on its own within a few quarters, because every site invents its own naming and the portfolio stops being comparable.

Not the question you have? Send it over, and one of the people who would actually run your site will answer it.

Where to start

Start with whether the system can carry it.

Both routes begin with the same fit-gap. What differs is whether the answer turns out to be a configuration project or a selection.

We went live. The crew went back to paper.

We run the fit-gap against the system you already have. In most cases it can carry the work and the problem is the configuration, which is a far smaller project than anyone expects to be told.

Three vendors, and they all agree.

We scope the requirement off the work and the standard, then sit on your side of the table. Nothing we recommend has a reseller agreement behind it, which is why this is worth having before the demos.
